Privacy Policy

How the Downtown Sudbury BIA collects, uses, and protects information when you visit this website or use our digital services.

[Content to be finalized by BIA staff] — This policy is a working draft pending review by the Downtown Sudbury BIA and legal counsel. Final wording, retention periods, and contact details will be confirmed before publication.

The Downtown Sudbury Business Improvement Area (“the BIA,” “we,” “us,” or “our”) is committed to protecting the privacy of everyone who visits downtownsudbury.com and the digital tools we operate on behalf of our member businesses and the community. This policy explains what we collect, why we collect it, and the choices you have.

This website is intended for general public use. You do not need to create an account or provide personal information to browse business listings, events, or specials.

Information We Collect

We aim to collect as little personal information as possible. Depending on how you interact with the site, this may include:

  • Information you give us directly — your name and email address if you subscribe to our newsletter, submit a contact form, or register for an event or passport campaign.
  • Member account information — for business owners who log in to manage their listing, we hold the contact and listing details associated with that account. (Businesses within the BIA boundary are automatic members by geography; logging in lets you access your tools and manage your listing.)
  • Technical and usage information — your browser type, device, approximate region, and the pages you view, collected automatically to keep the site running and to understand which content is useful.

We do not knowingly collect information from children, and we do not collect sensitive personal information through this website.

How We Use It

We use the information we collect only for clear, limited purposes:

  • To operate, maintain, and improve the website and its features.
  • To respond to enquiries submitted through our contact form.
  • To send our newsletter and event updates to people who have asked to receive them.
  • To administer event registrations and passport campaigns, including issuing and verifying check-ins.
  • To understand, in aggregate, how visitors use the site so we can promote Downtown Sudbury more effectively.

We do not sell your personal information, and we do not share it with advertisers.

Cookies & Analytics

This website uses a small number of cookies and similar technologies. Essential cookies keep the site functioning and remember basic preferences. We also use privacy-respecting analytics to measure traffic in aggregate — for example, how many people viewed a particular event — without building advertising profiles of individual visitors.

You can control or delete cookies through your browser settings. Disabling cookies will not prevent you from browsing listings, events, or specials, though some convenience features may not work as expected.

Third-Party Services

We rely on a small set of trusted service providers to deliver this website and our digital tools. These may include hosting and database infrastructure, email delivery for our newsletter, and embedded maps for wayfinding. These providers process information only as needed to perform their service and are expected to safeguard it.

Some pages may link to external websites, including those of individual member businesses and partners. We are not responsible for the privacy practices of sites we do not operate; we encourage you to review their policies separately.

Your Rights

You have the right to:

  • Ask what personal information we hold about you and request a copy of it.
  • Ask us to correct information that is inaccurate or out of date.
  • Unsubscribe from our newsletter at any time using the link in any email.
  • Request that we delete personal information we are not required to keep.

We handle personal information in line with Ontario and Canadian privacy expectations, including the principles of the Personal Information Protection and Electronic Documents Act (PIPEDA). To exercise any of these rights, contact us using the details below.

Deleting Your Data

You can delete your account and all associated data at any time:

  • Downtown Passport app — sign in at passports.downtownsudbury.com, open Account, and choose Delete account. This permanently removes your profile and all of your collected stamps.
  • Any other data (newsletter, event, or contact submissions) — email info@downtownsudbury.com and we will delete the personal information we are not legally required to keep.

If you signed in with Google or Facebook, deleting your account here also removes the data we hold; you can additionally remove the app from your Google or Facebook account’s connected-apps settings.
